We are seeking an individual who is committed to providing excellent customer service, enjoys a fast-paced work environment, is reliable, works independently and enjoys being part of a larger team environment. Millard Health is a customer-focused organization geared towards excellence in disability management and rehabilitation services.

The position of Receptionist also entails working the Millard Health Referral Desk. The Referral Desk is responsible for ensuring timely distribution of referrals to Client Services Coordinators.

This position is temporary for a period of up to one year with the possibility of extension or permanency. Final candidates for this position are required to undergo a security clearance as a condition of employment.

JOB SPECIFIC REQUIREMENTS

Education: Candidate must possess a high school diploma or equivalent qualification, supplemented with specialized secretarial or administrative courses.

RESPONSIBILITIES:

1. Reception and Visitor Services:
Welcome visitors to WCB Alberta in a friendly and professional manner, directing them to appropriate personnel or departments for assistance.

Handle incoming phone calls courteously, transferring them to the relevant staff members or departments and accurately taking messages when required

2. Front Desk Operations Management:
Maintain a clean and organized reception area, ensuring it reflects a positive image of WCB Alberta.

Manage visitor flow and inquiries, prioritizing tasks effectively to ensure smooth front desk operations.

3. Appointment and Meeting Coordination:
Assist in scheduling appointments and meetings for staff members, coordinating calendars and resolving scheduling conflicts promptly.
Communicate appointment details to relevant parties and provide reminders as necessary.

4. Correspondence Handling:
Receive and distribute incoming mail, packages, and deliveries to appropriate recipients.
Prepare outgoing mail and packages, ensuring timely processing and dispatch.

5. Records and File Maintenance:
Assist in maintaining accurate records and files, including visitor logs, appointment schedules, and other administrative documents.
Ensure confidentiality and security of sensitive information in accordance with WCB Alberta’s policies.

6. Administrative Support:
Assist with various administrative tasks such as data entry, filing, photocopying, and scanning documents.
Collaborate with administrative staff to support departmental needs and ensure efficient workflow.

7. Inquiry and Request Response:
Respond to inquiries from visitors, clients, and staff members, providing accurate information and assistance as needed.
Handle requests with professionalism and accuracy, escalating complex issues to appropriate personnel.

8. Policy and Procedure Adherence:
Follow established policies and procedures governing reception and administrative functions at WCB Alberta.
Maintain compliance with relevant regulations and standards to uphold the organization’s reputation and integrity.

PERSONAL EXPERIENCE AND SKILLS:

1. Proficiency in Office Procedures:
Candidates should possess a solid grasp of fundamental office procedures, including typing, filing, and basic administrative tasks, acquired through formal education.

2. Experience in Similar Environments:
Prior experience in an administrative or receptionist role is highly beneficial, providing familiarity with office protocols, procedures, and systems to facilitate a smooth transition into the position.

3. Strong Interpersonal and Communication Skills:
Excellent interpersonal skills are essential, enabling effective interaction with visitors, colleagues, and clients both in person and over the phone.
Clear and articulate verbal communication skills contribute to efficient communication and positive interaction experiences.

4. Customer Service and Team Collaboration:
A proven track record of delivering exceptional customer service is desirable, characterized by attentiveness, empathy, and professionalism.

Candidates should demonstrate the ability to collaborate effectively with team members, showing flexibility, cooperation, and a willingness to assist others.

5. Proficiency in Microsoft Office Suite:
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and Microsoft Outlook for email communication and scheduling is required.

Familiarity with document creation, spreadsheet management, presentation design, and email correspondence enhance productivity and efficiency in administrative tasks.

6. Education and Experience:
An equivalent combination of education and experience may be considered, highlighting a comprehensive understanding of administrative functions.
